Tenant FAQ


1. How do I get my mail?

FOR NEIGHBORHOODS WITH CLUSTER MAILBOXES: Take your lease to the nearest post office to get a mailbox assigned re-keyed.

2. When is rent due??

Rent is due in our office on the first day of the month – even when the first is over a weekend or on a holiday. Rent is late after 5 PM on the 5th Day of the month. Payments are late when they are mailed and received after the fifth day of the month – even if the postmark is on or before the fifth.

3. Can I pay rent online?

Yes. There is NO FEE for paying with an e-check. Click HERE or the Above Button to login into your tenant portal to make an online payment. Online payments must be initiated on or before the fifth day of the month to be on time. You may also setup a recurring payment.  

4. Are there any grace days for rent?

Yes. Even though Rent is Due on the 1st Day of the month including weekends and holidays it is not considered late until after 5 PM on the 5th day of the month. If mailed, rent must be received in our office by the fifth. Payment is late if received after the fifth – even if the postmark is on or before the fifth.

5. What is the late fee?

There is a $50.00 Late fee for any rents received after 5 PM on the 5th day of the month. There is an additional late fee of 15% of the Monthly Rent Amount on any rents received after 5 PM on the 7th Day of the Month.  For our Commercial Tenants please refer to your Lease for your specific late fees and penalties.

6. Do I need renters insurance?

No. However it is advised. In the case of any accident, fire, water damage, etc… None of your personal belongings are covered by our Building Only Insurance. You are completely responsible for all of your personal belongings no matter the cause of damage or theft.

7. Do I get a statement every month?

No. You will receive an email if you owe more than your monthly rent amount. We do not mail statements. You may login to the Tenant Portal and check the amount due.

8. What happens if my payment bounces?

If your payment bounces, then you will owe any late fees depending on the date of your actual receipt of rent. In addition there will be a $35 NSF fee.

9. Can my friend move in with me?

No. Anyone who will be living at the house must be on the lease. They must submit an application and be accepted before they move in. A new lease must be signed with all tenants names before anyone can move-in. There is a lease change fee. Contact us to start the process.

11. Am I required to pay rent online?

Yes. There is a processing fee for paying with a personal check, cashier’s check, or money order (unless Situs Property Management requires you to pay with certified funds).

12. How is my payment applied?

Per our lease, payments are applied as follows:

  • All Non-Rent charges are paid first including any Late Fees.
  • Rent is applied last
  • Late Fees are charged every month if ALL upaid charges are not paid in full.  This means that if you failed to pay a Late Fee or other Charge from a previous month and fail to pay them in your Current Month, you will be assessed a Late Charge for that month also.  (ie.  This would be considered a “Rolling Late”)
13. What is the Tenant Portal?

After you move in, you will be sent a Tenant Portal activation link. You will use that link to create a password and then login to your account. You can login to the Tenant Portal anytime on our website. Once you’ve logged in you can:

  • Pay online
  • Make and track work requests
  • Check the balance due on your account
14. What happens if I cannot pay rent on time?

If you can’t pay your rent on the first, then:

  1.  Send an email to rentals@situshomes.com telling us what date you will be paying rent. We will not accept rent payments after the 10th of the month.
  2. A Late Fee will be charged to your account.
  3. Late rent with Late Fee may be required in certified funds. Personal checks will NOT be accepted.
  4. A 3 Day Notice will be posted at the house, even if you have notified us. This is standard procedure.
  5. Situs Property Management will not accept any payments after eviction papers have been filed with the Court.  Please contact us to make arrangements.
15. Why did I get a late fee if my rent was not late?

There are several reasons why you may have been charged a late fee:

  • You did not pay the FULL amount due on your account.  Payments are applied to all unpaid charges first THEN to rent.
  • Your rent or security deposit may have changed (with a new lease) and you did not pay the correct amount.
  • You were charged for a repair that has not been paid.
16. Will paying rent affect my credit score or rental reference?

Yes. Late payments reported.

17. Will paying my rent on time affect my credit score?

Yes. Positive payment history is reported to Experian and that may increase your credit score.

18. What happens when my payment is rejected?

ONLINE PAYMENTS: Online payments will be put through twice before they are rejected. They can be rejected for: insufficient funds, wrong account number, your bank won’t process an online payment, and other reasons. It does not matter what the reason is for a rejected payment, a Late Fee will be charged and you may be put on CERTIFIED FUNDS STATUS which means for the rest of your lease you may have to pay with certified funds.

19. Can roommates pay separately?

No. Each property must make one payment.

20. Can my company pay my rent?

No. Rent payment must come directly from the tenants listed on the lease.

21. What browser do I have to use with the Tenant Portal?

The latest versions of Firefox, Chrome, Safari, and Internet Explorer v10 or higher. If the portal is not functioning as expected please update your browser to the latest version.

22. I do not remember my Tenant Portal password.
  1. Make sure you are using the latest version of Firefox, Safari, Chrome or Internet Explorer v10 or higher.
  2. Add “donotreply@appfolio.com” to your approved contacts in your email program.
  3. Choose “Forgot Your Password” link on the Tenant Login page. Check your spam, junk, or trash folders if you don’t see the email right away.
